Part Time Executive Assistant – Milton Ontario – REMOTE POSITION 

Business Ninja offers various business services to small, mid size & corporate companies.

Our Digital Marketing division is looking for a super Assistant Ninja to join our team.

We are looking for a creative, organized and tech savvy assistant for a busy digital marketing agency.

Applicants must be prepared for a fast-paced, self-motivated, entrepreneurial, lifestyle. You will be given the opportunity to work with a diverse group of people and a variety of clients in an ever changing industry.

This position provides you the ability to work remotely – therefore we look for team players with strong social networks that are able to work independently and collectively in a unique virtual environment.

10-15 hours per week with the opportunity to become full time.

Are you an Assistant with a high attention to detail and the ability to support our team? If so read on.

Duties can range day to day, some include:

Managing the Directors Email including utilizing Microsoft Suite heavily each day to complete various Administrative tasks.

Taking minutes, arranging meetings and travel in future.

Supporting the rest of the growing Sales & Marketing team with other ad hoc Admin as it comes up.

Liaising with internal & external partners as well as our clients.

Managing client files, Prepare for client appointments, preparing proposals.

Follow up with leads & proposals.

Scheduling the office calendar & assist team to schedule.

Onboard new clients to our cloud based platforms & CRM systems.

Customer service duties as required using Zendesk & live chat on website.

Attend and participate in monthly status update meetings with team in person or remotely. – Until Further notice, this is 100% Remote Position. It will require in future to travel to our Oakville head office on certain days only, 1-2x a month.

MUST HAVES:

Intermediate to advanced Microsoft Office skills with a strong focus on Outlook, Word, PowerPoint and Excel.

Superior communication skills both written and verbal.

Strong organizational and time management skills with exceptional attention to detail, makes deadlines – all the time.

Superior customer service skills that exemplify professional friendliness, judgement, sensitivity, confidentiality and problem solving.

A self-starter who has strong follow up skills.

An extremely friendly and easy going attitude, someone who is innately nice will thrive in this environment

NICE TO HAVES:

Advanced Excel is considered a strong asset & passion for online marketing is desired.

Able to learn new cloud based systems such as Teamwork, Uber Conference, Proposal Software, Hubspot CRM and many others, all training on systems will be provided.
